# Privacy Policy

How Kenerix collects, uses and protects personal information about visitors to this website, people who contact us, and the business contacts of our customers and partners.

Last updated: 22 October 2026

## In short

- We only collect what we need to answer your enquiry, run our relationship with your organisation and keep this site secure.
- We never sell personal information, and we do not use advertising cookies.
- Data our customers connect to the Kenerix platform belongs to them. We process it only on their instructions, under their agreement with us.
- You can ask to see, correct or delete your information at any time by writing to [hello@kenerix.com](mailto:hello@kenerix.com).

## 1\. Who we are

This website and the Kenerix platform are operated by DataGravity Limited, trading as Kenerix, a private limited company registered in England and Wales under company number 13394375, with its registered office at 78 High Street, Newport Pagnell, England, MK16 8AQ (“Kenerix”, “we”, “us” or “our”).

For the personal information described in this policy, we are the data controller. You can contact our privacy team at [hello@kenerix.com](mailto:hello@kenerix.com), or write to us at the registered office address above.

## 2\. What this policy covers

This policy applies to personal information we collect when you visit kenerix.com, contact us, attend our events or webinars, receive our updates, or act as a business contact for one of our customers, prospects, suppliers or partners.

It does not cover the data our customers connect to, store in or query through the Kenerix platform (“Customer Data”). For Customer Data, our customer is the controller and Kenerix acts as a processor. That processing is governed by the customer’s agreement with us, including our [SaaS terms and conditions](https://kenerix.com/saas-terms/) and data processing terms. If your information is held in a Kenerix customer’s systems, please contact that organisation directly.

## 3\. Information we collect

### Information you give us

- **Enquiries:** your name, work email, company, role, company size, sector and anything you write in your message, when you use our contact form or email us.
- **Customer and partner contacts:** names, job titles, work contact details and correspondence needed to set up, bill and support an account.
- **Portal account details:** name, work email and sign-in information for people our customers invite to the Kenerix portal.
- **Events and updates:** your registration details and your communication preferences.

### Information we collect automatically

- **Technical and security logs:** IP address, browser and device type, pages requested and the date and time, kept by our hosting provider to run and protect the site.
- **Your cookie choice:** a small record in your browser of the choice you made in our cookie notice. See our [Cookie Policy](https://kenerix.com/cookie-policy/).
- **Analytics:** only if you agree to analytics in the cookie notice. We do not run analytics without your consent.

### Information from others

- Business contact details shared with us by your colleagues, our partners or resellers, or published on public business sources such as company websites and Companies House.

## 4\. How we use it and why

UK and EU data protection law requires a lawful basis for each use of personal information. Ours are:

| What we do | Lawful basis |
| --- | --- |
| Reply to your enquiry and arrange a readiness conversation or demo | Legitimate interests in responding to business enquiries, or steps you ask us to take before entering a contract |
| Provide, administer, bill and support the services for our customers | Performance of our contract with your organisation, and our legitimate interests in running that relationship |
| Keep the website, portal and platform secure and prevent misuse | Legitimate interests in protecting our services, our customers and you |
| Send relevant updates, insights and event invitations to business contacts | Legitimate interests, with an easy opt-out in every message; consent where the law requires it |
| Understand how the website is used so we can improve it | Consent, given through the cookie notice and withdrawable at any time |
| Keep financial records and comply with legal or regulatory requests | Legal obligation |

Where we rely on legitimate interests, we have balanced our interests against your rights. You can ask us for details of that assessment.

## 5\. AI and your information

Kenerix is an AI platform, so we want to be specific about how AI touches personal information:

- We do not use your enquiry, your correspondence or our customers’ Customer Data to train general-purpose AI models.
- Within the platform, AI agents work only with the data a customer has connected and only within the access rules that customer has set. Each person sees only the data their role allows.
- Changes proposed by AI are reviewed and approved by people before they are applied.
- We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.

## 6\. Who we share it with

We never sell personal information. We share it only with:

- **Service providers** who help us run our business, such as cloud hosting, email, customer relationship management, video meetings and accounting providers. They act on our instructions and under contracts that protect your information.
- **AI and infrastructure sub-processors** used to deliver the platform, engaged under data processing terms. Customers can request our current sub-processor list.
- **Partners and resellers**, where you have asked to be introduced or you are their customer.
- **Professional advisers** such as lawyers, accountants and insurers.
- **Authorities**, where we are legally required to, or need to protect our rights, our customers or others.
- **A buyer or investor**, if we are involved in a merger, acquisition or investment, under confidentiality obligations.

## 7\. International transfers

We host the Kenerix platform and our core systems in the United Kingdom or the European Economic Area. Some service providers may process information in other countries. When that happens we make sure appropriate protection is in place, such as UK adequacy regulations, the UK International Data Transfer Agreement or Addendum, or the European Commission’s standard contractual clauses.

## 8\. How long we keep it

| Information | How long |
| --- | --- |
| Enquiries from people who do not become customers | 24 months after our last contact |
| Customer and partner account records | For the life of the contract, then 6 years for legal and tax purposes |
| Website security logs | Up to 90 days |
| Your cookie choice | 12 months, after which we ask again |
| Marketing preferences | Until you opt out; we keep a record of the opt-out so we respect it |

## 9\. How we protect it

We use encryption in transit and at rest, role-based access controls, multi-factor authentication for our staff, and regular security testing. Kenerix holds Cyber Essentials Plus certification, and our SOC 2 Type II programme is in progress. No system is perfectly secure, but we will notify you and the regulator where the law requires it if a breach affects your information.

## 10\. Your rights

Under UK GDPR and the EU GDPR you have the right to:

-   access the personal information we hold about you;
-   have inaccurate information corrected;
-   have your information deleted in certain circumstances;
-   restrict or object to our use of it, including for direct marketing at any time;
-   receive your information in a portable format;
- withdraw consent where we rely on it, without affecting earlier processing.

Write to [hello@kenerix.com](mailto:hello@kenerix.com). We will reply within one month and will not charge you in most cases. If you are unhappy with how we have handled your information, please tell us and we will work with you to resolve it. You also have the right to complain to the data protection supervisory authority where you live or work.

## 11\. Children

Our website and services are for businesses and are not directed at anyone under 18. We do not knowingly collect information from children.

## 12\. Changes and contact

We may update this policy as our services or the law change. We will post the new version here with a new date, and tell customers about significant changes. Questions about this policy: [hello@kenerix.com](mailto:hello@kenerix.com).
